FRESH PRODUCE / BUYER’S GUIDE

Importing Fruit and Vegetables from China: A Buyer’s Guide

Importing fruit and vegetables from China begins with a clear buying brief. Overseas importers, wholesalers and retail suppliers need to align the product, destination, packing and delivery window before comparing offers. PANDA is a China-based fresh agricultural produce exporter in Weifang, Shandong. Our main range includes garlic, ginger, apples and pears, alongside selected fresh vegetables and fruit. This guide explains the information that helps buyers and a Chinese exporter discuss a workable order, from the first inquiry to shipment planning.

1. Start with your destination and sales channel

Tell the exporter where the goods will enter, where they will be sold and when they are needed. A wholesale market, supermarket programme and food-service distributor may require different sizes, pack formats and shelf presentation. Share the destination country, discharge port or airport, and your preferred arrival period. Market access is product specific: a fruit or vegetable approved for one destination is not automatically approved for another. Check the proposed commodity and origin with the destination’s plant protection and customs authorities before committing to an order.

2. Make the product specification measurable

Use a clear commodity name and, where relevant, the variety. For example, Chinese cabbage means napa cabbage; it is different from round cabbage. Green onions are scallions, while bulb onions are another product. White radish normally refers to daikon, rather than small red radishes. These distinctions prevent misunderstandings when sourcing across languages.

Request the preferred size or weight range, grade, maturity, colour and acceptable tolerances. For garlic, discuss bulb diameter and preparation. For ginger, discuss washing, skin condition and size. For apples and pears, agree variety, size, firmness and appearance. Include intended use and representative photographs; photos support the written specification but do not replace it.

3. Agree quality checks and traceability

Quality discussions should cover the complete lot rather than one attractive sample. Ask how batches are identified, how grading is recorded and what inspection evidence can be shared before loading. Agree how defects, decay, mechanical damage and foreign material are assessed. When pesticide residue testing is requested, specify the destination requirements, test scope and reporting arrangements. A laboratory report and a phytosanitary certificate serve different purposes; neither should be treated as a blanket guarantee of every requirement.

4. Match packing to the commodity and route

Fresh produce packing must protect the product while supporting ventilation, handling and the planned journey. Discuss mesh bags, ventilated cartons, protective trays, punnets or palletized loads according to the commodity. Confirm net weight per pack, units per carton, pallet dimensions and the proposed loading plan. Vacuum packing is suitable only where the particular product and process support it.

For private labels, send the artwork, language, barcode and required shipping marks early. Approve a packing specification and a label proof before production. Confirm any pallet treatment or marking requirements applicable to the shipment.

5. Confirm the document set before shipment

A typical discussion includes the commercial invoice, packing list, transport document, certificate of origin and phytosanitary certificate where required. Additional permits, registrations, treatments or declarations depend on the commodity, origin and destination. Phytosanitary certificates are issued through the relevant national plant protection authority; they are not simply a supplier’s quality statement.

PANDA can discuss export document coordination, including phytosanitary and origin documentation, for the proposed order. The final document set must be confirmed for the actual shipment. Ask your destination broker to review requirements and consignee details before goods are packed and transport is booked.

6. Plan freshness through the whole journey

Select transport around the product’s condition, transit time and delivery needs. Discuss pre-cooling where appropriate, storage conditions, packaging airflow and the proposed refrigerated transport plan. Different commodities may have different temperature, humidity and compatibility needs, so mixed loads need specific consideration.

Agree the delivery term with its named place and applicable Incoterms® version, together with payment arrangements and insurance responsibilities. Confirm who books transport, handles clearance and receives arrival information. Keep records of loading, seals and relevant temperature monitoring, and agree a practical procedure for reporting any arrival issue.

7. Send a complete buying brief

A useful inquiry helps a fruit and vegetable exporter in China assess the request and prepare a relevant offer. Include your company name, contact person and buying role. State whether this is a trial shipment, seasonal purchase or recurring programme. Availability, order quantities, prices and lead times must be confirmed for the specific product and season.

  • Commodity and variety; desired grade, size and maturity.
  • Destination country and port; preferred shipment and arrival windows.
  • Requested quantity and unit, such as tonnes, cartons or pallets.
  • Packing format, net weight, label language and artwork requirements.
  • Required documents or testing; proposed delivery and payment terms.
